How to manage emails in outlook 2010
An email is a common part of communication in modern
world. In worldwide users use MS outlook and other emails clients to manage
emails account. But mostly users use MS outlook because it provides very easy
and effective interface. Here describe about how to manage emails with Outlook
2010 easily.
Here are few interface are defined:
- View a message in the Reading pane: Click the message header in the message list.
- Display the contents of the next message in the list: Press the down arrow key.
- Open a message in its own window: Double-click the message header.
- View a conversation: Click the right arrow on left side of first message header to display e-mails in a conversation; click down arrow to collapse conversation again.
- Preview an attachment: Click the attachment name, located at the top of the Reading pane or the open message window.
- Open an attachment: Double-click the attachment.
- Save an attachment: Click the attachment name at the top of the Reading pane/Message window, and then click the Save As button on the Attachments tab.
- Search for e-mail: Type some text in the Search Inbox box and press Enter. Make additional selections to narrow your search by clicking buttons on the Search tab that appears.
- Clear a search: Click the Close Search button on the Search tab.
Interface of sending a new mail with Outlook 2010:
When you will send a new massage with outlook
2010 then you will get many new and effective features and interface for create
a new mail.
Tab 1:- First Tab is Message
In this tab mainly used three features like:
- Basic Text Box: by the using this users will manage email text like font size, font type, text alignment, and text list.
- Names: here are two options 1st is Address Book and 2nd Check Names to add To and CC. With the help of address book users will show contacts from their Outlook contact list and with the help of check names users type a name in To or CC box and click on check names and check this name in your contact list.
- Include: By the using this users will attach file, items, signature in emails easily and quickly.
Tab 2:- Second Tab is Insert
In insert tab users get 6 sub tabs:
- Include: - In include you will add attachments, Business card, calendar and signature in email.
- Table: - By the using this you will add a table in Email.
- Illustrations:- By the using this you will add Picture, Clip Art, Shapes, SmartArt, Chart and screenshots of PC images in your mail.
- Links: - By the using this you will add a link on text with Hyperlink option and with bookmark users will add their saved link on email selected text.
- Text: - By the using this you will draw a Text box in email, Quick parts option you will add your saved contents and other, with WordArt you will design your mail text, with the Date & Time option you will manage date and time format and with the object option you will create a new file like PDF, PPT, image, Excel work Sheet and etc.
- Symbols: - By the using this option users will add a mathematical equation, symbol and a horizontal line in email content part.
Tab 3:- Third Tab is Options
In Options tab you will get 4 sub tabs
- Themes: - By the using this you will easily change and manage themes and theme colors, Fonts and Effects of Email content part. With the Page Color option you will change page color of email content part.
- Show Fields: - Here you will show two options 1st is BCC which is used to send a Blind Carbon Copy of Email and 2nd is From which show this mail send from.
- Tracking: - Here you will two check mark field and one Use Voting Buttons option. If you want to get a delivery report then select first check mark and want to get notification when your mail has been read then select 2nd check mark option. Use Voting Buttons option if you want to add voting system in your mail.
- More Options: - here you will get three options 1st is Save Sent Items To which is used for saving sent mail. By using this you will change the location of sent mail. 2nd is Delay Delivery which used when you want to send a mail after a date and time. 3rd is Direct Replies To and with the help of this you will defined a user and your mail to receive mail replies.
Tab 4:- Fourth Tab is Format Text
This tab is look like a MS word banner Tab and
here you will get 5 sub tab to create massage in Outlook Emails:
- Clipboard: - By the using this you will get few command like cut text, paste text and format painter.
- Format:- By the using this you will manage you message text in HTML format, plain Text, Rich Text.
- Font:- By the using this you will manage message Font format, font size, font color, text highlight color.
- Paragraph:- By the using this you will manage massage text alignment, text list, line height and etc.
- Style:- By the using this you will change and edit your massage text style.
Tab 5:- Fifth Tab is Review
In Review Tab you will get two main tabs:
- Proofing: - In the proofing tab you will get 4 options like Spelling & Grammar, Research, Thesaurus, Word Count. By the using of these options users will check their spelling and grammar in the massage, Word Count in massage.
- Language: - In the Language tab you will get to options like Translate and Language, By the using this tab will manage language of message.
After using these tabs you will easily create a new mail message in Outlook 2010.
